Three years ago, the typical boardroom in a Mumbai or Pune office had a large display on the wall, a speakerphone in the middle of the table, and a laptop that someone connected via HDMI at the start of every meeting. It worked, most of the time, for most purposes.
That setup has not aged well.
The arrival of hybrid work as the permanent default means that every boardroom meeting now involves at least some remote participants. Those participants experience the meeting entirely through the room’s camera and microphone. If the camera is a basic webcam showing a wide, poorly lit shot of a long table, and the microphone is a single speakerphone that picks up the two people nearest it clearly and everyone else as background noise, the remote experience is fundamentally unequal to the in-room one.

Common Boardroom Upgrade Mistakes to Avoid

Choosing the display size based on budget rather than room geometry. An 86-inch display in a room where the nearest seated participant is two metres from the screen is not comfortable to look at. A 75-inch display in a room where the far end of the table is eight metres away is not legible. Display size should follow room dimensions and typical viewing distances.

Installing a speakerphone in a room that needs a ceiling mic. Speakerphones are well-suited for rooms up to roughly 8-10 people seated close together. In a 16 or 20-seat boardroom, a speakerphone at the centre of the table creates immediate audio inequity. those at the far ends of the table are not heard clearly. The room needs a ceiling mic array or a distributed microphone system.

Buying the camera before assessing the room. Camera field of view, mounting position, and auto-framing configuration all depend on room geometry. A camera that is purchased and then mounted wherever it is convenient will produce footage that is convenient rather than correct.

Leaving training out of the installation scope. A boardroom AV system is only as effective as the confidence of the people using it. A one-hour handover session, practical, focused on the most common tasks, eliminates the majority of post-installation queries and prevents the system from being used incorrectly or avoided entirely.
